How it Works

How to set up a high-quality Inventory using the InventoriesRus.co.uk website:

The simple to use facility is intended to make producing your Inventories as easy and quick as possible. Once you have Registered and Logged-On, just follow these simple steps. A more detailed explanation is available in our Manual, which can be viewed and printed by clicking the button to the left hand side.

Step 1

Print out and photocopy the blank “Inventory Notes” form (including a Cover Sheet) and use this to list all of the details when you carry out your inspection of the property. Alternatively, if you prefer to use a Dictaphone, you can record your Notes about the property and items within it. In either case, follow a standard pattern with each room (see our Manual page 5, column 1 for suggestions regarding the pattern to use). Remember to be consistent in your use of the Condition and Cleanliness descriptions. See the example to illustrate how you should complete this. If your property is furnished then you will need to itemise and describe all of the furniture items.

Step 2

Log-In to your account on InventoriesRus.co.uk. Then following the on-screen instructions, set up your Property first (using Add New Property button) and then proceed to set up the different Rooms and subsections. Alternatively, if you prefer, you can Clone one of our Basic Property Templates, or Clone one of your previously saved Inventories and then go into the Cloned version and Edit it as required

You are prompted by drop-down boxes but, if a room or an item you wish to describe isn't detailed in our default list, the system allows you to use your own description. In each case, using the data you have written on your Inventory Notes, or recorded into your Dictaphone, list-down all of the features that make up your property. When you finish each room, you can upload any photographs you have taken (maximum 5 per room). If you stop mid-inventory then any work you have done will be saved in your Private Library, so you can open it up and finish it off later.

Step 3

When you have finished listing all of the aspects that make up your Property, simply click the button headed “Download Inventory”. The system will produce a PDF which you can open and/or save. Remember to print out one copy of the Inventory for you and one for each of your tenants. Remember to get all of the tenants to sign or initial each page (as marked) as keep your copy (signed by the tenants) safe.

Step 4

Your Inventory data will be saved within our system in your own Private Library. You can amend it at any time and, when your tenant is ready to leave your property, you can produce a “Check-Out Report” which can be used to detail any damage or other contentious issues.
